We recommend putting together a running order (wedding reception itinerary) for the day, so that all of your suppliers know what they should have achieved by certain times. Event planners will be familiar with using a running order, but here is a basic version that you can use as a starting point with your DJ. For simplicity we've started from the wedding ceremony.
If you're in a marquee then there will be additional parts to the schedule during the days before your wedding to set up the marquee and power supply, install catering equipment and tables.
For marquee based wedding receptions we always recommend that the DJ company visit the site when the marquee has been installed to check access and power to the marquee.
Here is a basic wedding reception itinerary. 2:00pm wedding ceremony 2:30pm photos with professional photographer, DJ arrives to set up equipment 4:00pm guests arrive at venue for champagne reception, background music from DJ 5:00pm guests are seated for wedding breakfast 5:15pm wedding breakfast served 7:00pm speeches 8:00pm evening guests arrive, music from DJ 9:00pm first dance 9:05pm dancing 12:00am close 1:00am venue clear As you can see from the schedule, everything needs to happen in a certain order. Sometimes it can be difficult to motivate guests to sit for the wedding breakfast. A toastmaster can be useful in this situation to encourage guests to keep to the schedule. Alternatively your DJ can provide a radio microphone to communicate with guests.
